PURCHASING- BUYER/BOOKKEEPER REPORT TO:
PURCHASING AGENT BASIC FUNCTION:
Under the general supervision of the Purchasing Agent maintains control of Purchase Requests and Purchase Orders; performs procurement procedures; keeps inventory of supplies; does follow up and resolves issues with vendors; ensures delivery of merchandise to sites.
Works with accounts payable to ensure invoices are received and paid in timely manner; may substitute for Purchasing Agent in their absence.
REPRESENTATIVE DUTIES:
The duties recorded below are intended to accurately represent the duties of the class and are not intended to cover every single duty of the job.
Process Non-stock requisitions and creates Purchase Orders including GL coding.
Approves, codes and/or modifies on-line orders placed in other departments.
Orders merchandise according to purchasing requests and for stocking purposes.
Process and codes purchase orders for grants as per request and performs follow-up on purchases for specific grants as needed.
Assist in month end close & works with AP department to ensure invoices are received and paid in a timely manner.
Reviews and makes sure that vendor's invoices or packing slips are signed by personnel receiving the service or merchandise.
Meets with vendors to negotiate and select best prices, products and services.
Contact vendors regarding receipt of merchandise, credits, returns, invoices or any other issue that needs to be resolved.
Makes sure merchandise ordered is delivered to the sites timely.
Receives, logs and dispense merchandise received to different departments as needed.
Communicates with ordering person to follow up on orders when necessary.
Controls and management of inventory of supplies using the inventory software Training, access and support to staff on use of inventory software and online vendors accounts.
Develop and execution of purchasing policies and procedures.
Create reports and Files purchasing documents.
Acts as an interface between vendors and other relevant departments on purchasing processes, new projects and activities.
Assists with the reconciliation of balance sheet accounts and provides documentation for review by auditors.
Enters general ledger transactions regarding Accounts Payable.
Prepares various accounting reports and spreadsheets as requested Performs bookkeeping/clerical duties of co-workers as necessary; participates in cross-training.
Travels to other Innercare sites for inventory purposes and monitors their storage areas.
Perform other duties as assigned by Purchasing Agent.
EDUCATION AND
Experience:
Any combination equivalent to:
graduation from high school or Junior College and at least one-year experience related to the duties and responsibilities of the job.
SPECIAL REQUIREMENT:
Valid California driver's license, automobile and proof of insurance.
The employee in this position may have to use his own vehicle for transportation of merchandise.
KNOWLEDGE AND ABILITIES:
Good customer and telephone skills is a must; ability to understand and follow written and oral instructions; ability to work with computers and software to perform all tasks relative to the job; organization and prioritizing skills to work and manage multiple tasks related to the job; knowledge about products and stock procedures; knowledge of inventory control; ability to communicate with vendors and co-workers; ability to work under minimal supervision, performing tasks that are routine and well standardized; initiative to look for better offers and ability to discriminate differences in products; ability to work under frequent interruptions; knowledge of safety procedures to move heavy items; ability to establish and maintain cooperative relations with co-workers, professionals and the public, WORK DIRECTION, LEAD AND SUPERVISORY RESPONSABILITIES:

PHYSICAL EFFORT:
Work involves the exertion of moderate to strenuous physical effort involved in the lifting, carrying, pushing and/or pulling of objects and materials of about (20-50 pounds).
Uses dolly when needed to move heavier items.

Work is performed under stressful conditions.
