Administrative Assistant REPORT TO:
DIRECTOR OF HUMAN RESOURCES BASIC FUNCTION:
Under the supervision of the Human Resources Director, performs routine to moderately complex clerical work required for the efficient and effective Human Resources operations.
REPRESENTATIVE DUTIES:
The duties recorded below are intended to accurately represent the duties of the job and are not intended to cover every single duty of the job.
1.
Establish and maintains accurate and up-to-date personnel files, ensuring confidentiality with employee information as required.
2.
Assists HR Director with various personnel procedures, including but not limited to the advertisement of job openings, employee recruitment, application screening, scheduling and conducting interviews, conducting license and reference checks, terminations, employment verifications, etc.
3.
Receives and responds to inquiries and requests for assistance from employee regarding personnel matters.
4.
Maintains personnel records.
5.
Processes salary garnishments and payroll changes.
6.
Answers the telephone in a courteous and professional manner and takes messages accurately.
7.
Performs general clerical work as required, including copying and filing documents, typing reports and correspondence, entering computer data, processing mail, faxing documents, etc.
8.
Operates a variety of office equipment, including computers, printers, typewriters, copiers, fax machine, calculators, telephone, etc.
9.
Performs other related duties as required and assigned.
EDUCATION AND
Experience:
Any combination equivalent to:
graduation from high school or college education preferred.
Experience closely related to the duties and responsibilities of the job.
Type 45 wpm or more.
Excel a must.
Must take initiative and have good judgment.
Bilingual English/Spanish language preferred.
KNOWLEDGE AND ABILITIES:
Good customer and telephone skills a must.
Knowledge of office procedures and filing systems; knowledge of modern office equipment and technology; knowledge of proper English usage, grammar, punctuation and spelling; knowledge or basic mathematics; ability to learn and apply department policies, procedures and regulations; ability to understand and follow written and oral instructions; ability to prepare simple records and reports with accuracy; ability to type at rate required for the timely completion of duties; ability to work with frequent interruptions; ability to establish and maintain cooperative with co-workers, professionals and the public.
WORK DIRECTION, LEAD AND SUPERVISORY
Responsibilities:
Do not supervise other staff.
PHYSICAL EFFORT:
Work involves the exertion of moderate, though not constant, physical effort involved in the lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).
General Office Environment.
Good physical and Mental Health.
CONTACTS:
Supervisor, co-workers, other department personnel, vendors, clients, WIC providers/professional, and the general public.
WORKING CONDITIONS:
Normal Office Environment.
May require extended periods of time at a computer keyboard.
Work is performed under stressful conditions.
Must comply with the Corporate Compliance Program.

Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.
Comply with all regulations regarding corporate integrity and security obligations.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
